The following email setup guide will help you to manually setup your email through a desktop email application such as “Microsoft Outlook 2013® for Windows®”. The settings will be more or less the same for most email clients including later versions of Outlook apps.

When you signed up for the Enterprise Package on zonline.africa or for Hosting Services such as those offered on KhuyaNet, you also gained professional email account hosting such as sales@yourcompanynamehere.co.zw, sales@yourcompanynamehere.com or sales@yourorganizationnamehere.org, etc. Note that if you are coming to KhuyaNet from another host and already had emails that will now be hosted by KhuyaNet, please make sure that you work with our team to migrate your emails to our servers to ensure a smooth transition with zero downtime.

Depending on whether you are setting up a new account or editing an existing you must first do the following:

1. Setting Up a New Account In Your Mail Client
   1. Open your outlook and navigate to File – Add Account
   2. Select Manual setup or additional server types and click next
   3. In the choose service screen, select POP or IMAP then click next
   4. In the POP and IMAP Account Settings screen enter the details as explained in the Secure SSL/TLS Settings recommended below… or the Non-SSL Settings (NOT RECOMMENDED). Note that in most cases your incoming and outgoing servers must be set to mail.yourdomain.com for example… replace ‘yourdomain.com’ with your actual domain. If in your case that does not work you may need assistance from our team to sure that you use the correct values for the incoming and outgoing servers.
   5. After filling out all the information click More Settings
   6. In the Internet E-mail Settings screen, under the General Tab, enter your complete email in the Mail account section and your company name in the Organization field
   7. Still in the Internet E-mail Settings screen, click on the Outgoing Server tab and select the checkbox that says ‘My outgoing server (SMTP) requires authentication, then select the radio box that corresponds to ‘Use the same settings as my incoming mail server’
   8. Still in the Internet E-mail Settings screen, click on the Advanced tab and enter 993 for the Incoming Server (IMAP) port then enter 465 for the Outgoing Server (SMTP) and click OK when done. This will take you back to the POP and IMAP Account Settings screen.
   9. In the POP and IMAP Account Settings screen click next and the system will complete setting up your account and send a test email to your inbox and you are done!
2. Editing The Settings for an Existing Account
   1. Assuming you already have your account set up in Outlook but the server settings changed, for example, if your email account was moved to a new server, you should follow the following steps…
   2. Open your outlook and navigate to File – Account Settings (Add and remove accounts or change existing connection settings…)
   3. In the Email Accounts screen that opens, select the email account you want to edit under the E-mail tab
   4. Double-click the email account or just click on change
   5. The rest of the steps are the same as above so you can refer to the images for setting up a new account if you get stuck.
   6. In the POP and IMAP Account Settings screen enter the details as explained in the Secure SSL/TLS Settings recommended below… or the Non-SSL Settings (NOT RECOMMENDED)
   7. After filling out all the information click More Settings

Secure SSL/TLS Settings (Recommended)

Below is an example of the recommended Secure settings. The SSL (Secure Sockets Layer) protocol is for connecting to your server securely to prevent network “snoopers” from seeing your data over the network connection.

Non-SSL Settings (NOT Recommended)

The following settings are the non Secure settings. You should use these only if you cannot use the SSL settings. Note that you will need to change “yourdomain.co.zw” to your actual domain name.

Notes:

• IMAP email access coordinates between the server and your mail application. Messages that have been read/deleted/replied to will show up as such, both on the server and in the mail application.
• POP3 does not coordinate with the server. Messages marked as read/deleted/replied to in the mail application will not show up as such on the server. This means that future mail downloads with POP3 will show all messages as unread.
• Outgoing mail is sent using SMTP.
• We recommend using POP3 over SSL/TLS or IMAP over SSL/TLS since they provide increased security for your interactions with the remote mail server.

Alternatively, You Can Use Webmail To Access Your Email

Webmail allows you to access your email from any browser such as Google Chrome, Firefox, Safari, Opera, and Internet Explorer. The benefit of using Webmail is that you don’t have to configure any settings to access your email from any device with internet access. The biggest disadvantage is that your emails are stored on the server and should something happen to the server you risk losing all your emails.

To log into your email using webmail simply:

1. open your browser of choice and in the url enter your domain name as follows www.yourdomain.co.zw/webmail (remember to replace yourdomain.co.zw with your actual domain name).
2. On the page that opens, enter your full email address in the username field (e.g. sales@yourdomain.co.zw) and your email password in the password field.
3. Click log in or hit the return key and you should get signed in.  If it’s your first time you will be presented with 3 webmail clients to choose from. Remember to set one as the default so that you don’t see this page each time you log in.

The 3 options are SquirrelMail, Horde and Roundcube. Each one has it’s own look and feel plus features. You may want to try them all before you decide on the one that’s best for you. We prefer to use Horde over the other 2, for those clients who want to just pick one without reviewing them all.

SquirrelMail is limited in features, however, this allows you to quickly read and respond to emails.
Horde has more functionality than SquirrelMail, however, this can at times make the software slower and more “busy”.
Roundcube is the new kid on block, just recently introduced. Feature-wise it falls in-between SquirrelMail and Horde, however, it has a very clean look and feels similar to a desktop client such as Mac Mail or Outlook.
